Data Merging

The brief

A long-standing local client of more than 12 years approached us to redesign their biannual customer newsletter, with around 50,000 copies printed and mailed to more than 400 optical practices nationwide.

Every edition needed to include each individual practice's logo, address and contact details on both the front and back covers.

With a print run of this size, data accuracy was absolutely critical - any mistakes could result in costly reprints, wasted time and unnecessary expense.

The solution

As our client already maintained a verified database containing every practice's logo, address and contact details, we recommended integrating this directly into the design using data merging.

This provided several key benefits. It ensured every newsletter contained accurate information, significantly reduced production time, eliminated the risk of manual copy-and-paste errors and streamlined the print process by automatically generating print-ready PDFs for every practice.

Before beginning the design work, we spoke directly with several optical practices who described the existing publication as "too clinical", while others felt that opticians were often perceived as "boring". We also heard that the articles were "too long and technical", making customers less likely to read them.

The creative

Alongside the data-merging implementation, we completely refreshed the newsletter's design. The objective was simple - create something engaging enough for customers to pick up from a waiting room table and actually enjoy reading.

Working closely with our client and copywriter, we recommended reducing articles to around 250 words and placing greater emphasis on encouraging customers to speak with their optician. The shorter, more accessible content made the newsletter quicker to read while creating more opportunities to generate enquiries.

To complement the revised copy, we developed a brighter, more contemporary, image-led design with a stronger focus on key messages, clear calls to action and engaging photography. The combination of intelligent data merging and a customer-focused redesign transformed both the production process and the reader experience.

Across the 12 editions produced since the redesign and data merge were introduced, the number of practices requesting the newsletter has increased by 35%, demonstrating the long-term value of combining thoughtful creative design with efficient production workflows.
